A how-to guide on every machine in your gym

To use QR codes on gym equipment, give each machine a code that opens its own guide page. CirculateQR's Fitness & Gyms template has the machine name and station number, what it works, a link to a how-to video, a setup checklist, suggested sets and rest times, and a trainer contact. Edit any guide without replacing the label. Each machine is a separate page, so check your plan's page limit: 3 on Free, 25 on Studio, unlimited on Artisan.

The problem

Why the printed version falls short

New members don't know how to set up a machine

Trainers get pulled away to demonstrate the same equipment

Instruction decals wear off or peel

Members aren't sure how many sets to do or how long to rest

Changing a guide means printing a new decal

What you get

Fitness & Gyms with CirculateQR

Each machine's code opens a short guide: what it works, setup steps, suggested sets, a video link and who to ask for help.

  • Setup steps as a checklist members tick off
  • A link to a how-to video for each machine
  • Suggested sets and rest times for beginners and regulars
  • A contact for the trainer on duty
  • Edit a guide without replacing the label
  • Scan counts for each machine, by day and time
How it works

How to set it up

  1. Make the first guide

In Studio, open the Fitness & Gyms template and replace the leg press sample with your machine, setup steps and sets.
  2. Link a video

Paste a link to a how-to video on YouTube, Vimeo or your own site.
  3. Repeat for each machine

Create a code for each machine you want to cover. Each one counts toward your plan's page limit.
  4. Label the equipment

Print durable, wipe-clean labels and place them where members can scan without reaching near moving parts.

Useful extras

Scan counts per machine

Each machine has its own code, so you can see which guides members open and when.

Report a problem

Add a response form to the guide so members can report a broken machine. Reports land in the code's Responses.

FAQ

Frequently asked questions

Can members log their workouts?

No. The guide shows how to use the machine. It doesn't track sets, reps or progress.

How many machines can I cover?

One page per machine. The free plan includes 3 pages, Studio 25 and Artisan unlimited.

Can the video play on the page?

The page links to the video, which opens where it's hosted, such as YouTube or Vimeo.

Does it connect to our gym management software?

No. There's no built-in integration. You can send scan events to your own systems with webhooks.

What happens on the free plan?

On the free Standard plan, each guide's code stays live for 14 days after publishing, then pauses until you upgrade. On a paid plan, codes stay live while you're subscribed.

Start with the Fitness & Gyms template

The template opens in Studio with starter content filled in. Change the text, pick a design and download. The free plan needs no card.
